# Launching white-label business voice: an MSP checklist

A branded calling experience is only one part of an MSP voice service. Customers also need accurate orders, predictable changes, useful support and a clear route out when their requirements change. Design those processes before the first rollout.

## Define the offer and the responsibilities

Start with the customer group and the problems the service is intended to solve. A small office replacing an older phone system has different onboarding needs from a multi-site business retaining a PBX. State whether the offer uses hosted telephony or SIP trunks, what endpoints are included and who supports the customer's local network. Keep those boundaries visible in both the proposal and the support process.

Netavo provides [hosted telephony, SIP trunking, UK numbers and white-label softphones](https://netavo.com/services/voice). For an [IT or managed service provider](https://netavo.com/sectors/it-and-managed-service-providers), these can form part of a branded voice offering. Branding does not, by itself, establish provisioning automation, billing integration or a particular division of operational responsibility. Agree those details explicitly.

Create a responsibility map covering order approval, number administration, endpoint setup, local connectivity, fault diagnosis and supplier escalation. Assign an owner for customer communication during an incident. Avoid an arrangement in which the MSP waits for the supplier while the supplier waits for information that only the customer can obtain.

Netavo gives partners a partner portal and an API for provisioning customers, numbers and users, and for the usage data that feeds billing.

## Make onboarding repeatable and reviewable

Use a consistent discovery record. Capture sites, users, working locations, numbers, current suppliers, connected equipment and important calling workflows. Check who is authorised to request changes and transfer numbers. Identify specialist dependencies such as lift call points or alarm equipment early so the appropriate maintainer can assess them separately from the ordinary voice rollout.

Translate discovery into a configuration and acceptance plan. For each important number, record the expected destination and the person who will test it. For each user group, confirm the endpoint, training needs and support contact. Keep access to administration and customer records limited to the people who need it, and agree how staff changes are approved and recorded.

Reconcile porting information with current supplier records before committing to a rollout schedule. Confirm number ranges, account details and any linked services. Make clear which dates are requested and which have been accepted by the suppliers. Do not cancel existing service simply because the new configuration is ready; follow the agreed transfer and acceptance sequence.

Pilot with a representative customer or a bounded group of users. Test the ordering process as well as the calls. Can the team find the approved configuration, identify a mistaken request and explain the order status without searching private inboxes? A pilot that exposes administrative gaps is valuable even when the voice technology behaves exactly as intended.

## Build support and offboarding into the service

Give first-line support a small set of evidence requirements. A failed or poor-quality call report should include numbers, timestamps with time zone, the affected endpoint and the observed symptom. Establish when the MSP investigates the LAN or access connection and when the case moves to the voice supplier. Retain the evidence across escalation so the customer does not have to repeat the same account at each handoff.

Publish support boundaries that match the actual agreement. Distinguish acknowledgement from investigation and restoration, and explain how urgent incidents reach the responsible team. Do not promise a response time, service credit or recovery feature that has not been confirmed for the chosen service. Rehearse an example involving more than one supplier to find ownership gaps before a real incident.

Treat routine changes as part of service quality. Joining and leaving staff, office moves and changes to published numbers should use recorded requests and appropriate approval. Review who holds administrator access, who maintains location information where required and how the customer checks that a change has been completed correctly. A familiar brand should be backed by records that remain understandable as the team grows.

Finally, define offboarding. Keep an accurate number inventory, identify who can authorise transfers, agree how customer configuration and records are handled, and confirm when access and charges end. Do not make departure depend on knowledge held by one engineer. An MSP that can explain the full service lifecycle has a stronger basis for a durable customer relationship than one whose offer stops at installation.

## Common questions

### Does a white-label softphone imply a provisioning API?

Not in general, since branding and automation are separate capabilities. Netavo provides both: white-label softphones, and a partner portal and API for provisioning and usage data.

### Who should own the customer relationship during a fault?

Name a clear communications owner in the operating agreement. That person should coordinate evidence and updates even when diagnosis involves the MSP, access provider and voice supplier.

### What needs to be ready before launch?

Prepare the discovery record, responsibility map, number-transfer process, acceptance tests, escalation path and offboarding procedure. Validate them through a representative pilot.
